Privacy Policy

This Privacy Policy describes how VeronaWalk Sports (“we,” “us”) collects, uses, and protects personal information when you use our court reservation website and related services. The site is operated on the Club Court Manager™ platform by StoufferAI (“platform operator”).

Information we collect

• Account & roster data: name, email address, phone number, home address, sport rosters, skill ratings, member status, and optional photo ID when required for a sport.
• Booking data: court reservations, invited players, messages you include with invites, and cancellation history.
• Sign-in & security: session tokens, sign-in method used, and timestamps. When you accept terms or SMS consent, we record the time and IP address for audit purposes.
• Technical data: browser type, device information, and standard server logs provided by our hosting provider.

How we use information

• Authenticate members and administer court reservations.
• Send transactional email (sign-in links, booking confirmations, invites, administrator notices).
• Send SMS text messages you have opted in to receive (see below).
• Enforce club rules, roster access, and terms acceptance.
• Improve reliability and security of the service.

We do not sell your personal information. We do not send marketing texts without your consent.

Text messages (SMS)

If you provide a mobile number and check the consent box on our sign-in page (Text code tab), on our SMS opt-in disclosure page, or when requesting membership with a phone number, you agree to receive automated text messages from VeronaWalk Sports at that number for:

• One-time sign-in verification codes, and
• Court reservation notifications related to your account (for example, invites or booking updates), when applicable.

Message frequency varies. Message and data rates may apply. Reply STOP to opt out of text messages. Reply HELP for help. Carriers are not liable for delayed or undelivered messages.

We store the date and time of your SMS opt-in (and IP address when available) before sending any text. You may still use email sign-in if you do not wish to receive texts. We do not sell or share mobile phone numbers for marketing purposes.

Email

We send service-related email (magic sign-in links, password resets, reservation notices, and club announcements from administrators). You cannot opt out of essential account email while you remain an active member using the system.

Service providers

We use trusted processors to operate the service, including:

• Hosting and database providers (e.g., Vercel, Neon)
• Email delivery (Resend)
• SMS delivery (Twilio), when you opt in to text messages
• Payment processing (Stripe), for subscriptions where applicable
• Session analytics (Microsoft Clarity), when enabled for usability testing — see below

These providers process data only to perform services on our behalf, under contractual safeguards.

Session analytics (when enabled)

During usability testing, we may use Microsoft Clarity to record how members interact with the site (for example, which pages are visited and where users click). Clarity may use cookies and similar technologies. Sensitive fields such as phone numbers, sign-in codes, and passwords are masked in recordings. We do not enable session recording on the administrator dashboard. Analytics are used to improve the service, not for advertising. If you have questions, contact your community administrator.

Data retention

We retain member and booking records while your membership is active and as needed for club administration, dispute resolution, and legal compliance. Sign-in logs and consent records are retained for audit and security purposes.

Security

We use industry-standard measures including encrypted connections (HTTPS), hashed passwords where used, and access controls. No method of transmission over the Internet is 100% secure.

Your choices

• Update profile information signed in under My Profile.
• Opt out of SMS by replying STOP to a message or removing your phone number from your profile (email sign-in remains available).
• Contact your community administrator to correct roster information or request account changes.

Children

The service is intended for club members and is not directed to children under 13. We do not knowingly collect information from children under 13.

Changes

We may update this policy from time to time. The effective date at the top will change when we do. Continued use of the service after changes constitutes acceptance of the updated policy.
